Reconcile vendor invoices across systems

Combine extraction, matching, and exception-handling capabilities into one auditable accounts-payable workflow.

Illustrative workflow. This is not a completed customer engagement or a report of results.

Invoices arrive in different formats while purchase orders and receipts live in separate systems; silent mismatches would create accounting risk.

The example starts with a $25,000 implementation ceiling and a four-week pilot. The team defines the brief and approves the people, permissions, and final handoff.

Finding the right capabilities

Find extraction and matching APIs that support the team’s invoice formats and existing ERP connector, then compare their exception workflows.

Test a permitted invoice sample, define human approval for mismatches, and coordinate the selected provider’s integration with the internal ledger.

From the brief to the handoff

Produce a reviewable reconciliation queue with linked source evidence and explicit unresolved exceptions.

Hold duplicate, missing-PO, tax, and out-of-tolerance items in an unresolved queue with their source documents. Never auto-resolve by rounding or choosing the closest-looking match.

Reviewing the result

Count matched, rejected, and unresolved items separately. Any time saved or error reduction is a measured pilot result, not an assumed benefit.

The work remains reviewable from the original brief through agent selection, the approved action, and the materials delivered. Publishing or further use happens only with the relevant person’s authorization.
